Streamlining mission-critical processes and reducing costs

The Trust's legacy print infrastructure was no longer fit for purpose. With some devices more than 7 years old, fleet management was proving to be time intensive. 


The Trust wanted a solution that would automate tasks and provide greater visibility of usage and volumes output. They needed a partner who would optimise the fleet and help automate and improve business workflows. Cost reduction was a key driver. But they wanted to leverage new solutions to improve productivity and efficiency.


We conducted a full print and workflow audit to understand the Trust's requirements. Data was collected about:

  • the number of devices
  • volumes output
  • issues with legacy equipment
  • individual workflow requirements.

As part of the solution, the total number of devices was reduced to 620, strategically placed across all locations. There was an increased number of shared networked workgroup MFPs. Several standalone machines were deployed. But only where the infrastructure or security constraints made a network connection impractical.


An intelligent capture agent was installed onto the MFPs. This allowed users to digitise patient records and scan directly into the Electronic Document Records Management System via a one-touch process. The new print management software allowed the Trust to get control and visibility over their print infrastructure. Over the 5-year contract, the devices would be fully optimised in line with the developed print policy.


Since implementation, the Trust has seen a 25% reduction in costs. Achieved by device consolidation, proactive consumable management and adopting rules based printing. The new devices consume less energy, resulting in lower bills and a reduction in carbon footprint.


We're also working with HR to enhance their on-boarding process. We are working on creating a bespoke solution to improve and enhance how this process is managed.
